Base fee:
  • In-person exhibitors will have a 6’ table immediately adjacent to the main room, in addition to a virtual booth. Exhibitors may set up on Thursday, and the exhibit area will be open from Friday morning through the end of the Saturday program. Please note: meals are not included and may be purchased separately. Fee includes one full admission to all sessions. One additional individual can be registered to work at the exhibit table only for no additional cost (meals may also be purchased for this individual).
  • Exhibitors unable to attend in person may participate on the Virtual Expo Hall and will be able to set up a virtual booth on the conference (Whova) platform. In-person exhibitors will also receive a virtual booth.
    All conference participants, both in-person and virtual, will have access to our Virtual Expo Hall. This promises to be a large offering of goods and services that Montessorians are looking for and should attract many viewers. The virtual exhibit hall will remain open for three months after the conference.
    The virtual booth can contain links to downloads, discount coupons, requests for more information, plus text and video meeting capabilities.

  • In recognition of the many strong supporters of the Montessori Foundation, we are pleased to accept four vendors, institutions or individuals who would like to be identified as Friends of the Foundation. In appreciation of this support, they will receive:
    1. A link to the sponsor’s web site and their logo prominently shown on the conference web site
    2. Live acknowledgement from the event host
    3. One infomercial placement during the event
    4. Opportunity to insert an item in the conference swag bag
  • To kick off the conference, attendees will gather for a reception and entertainment at a popular local restaurant in Phoenix. The Reception Sponsor will receive:
    1. A link to the sponsor’s web site and their logo prominently shown on the conference web site
    2. Acknowledgement during the conference
    3. Signage at the entrance to the reception
    4. Opportunity to insert an item in the conference swag bag
  • The Lanyard Sponsor’s logo will be printed on the badge lanyard worn by all in-person attendees throughout the conference.
  • All in-person attendees will receive a swag bag with items provided by vendors. The SWAG Bag Sponsor will get a one color imprint of their logo on the bag, plus the opportunity to place an item in the bag.
  • At the beginning of the broadcast sessions, we will air a limited number of infomercials (provided by the vendor). Both the live audience and the virtual attendees see these infomercials.
    These infomercials can be up to two minutes in length and must be approved by the conference committee. These vendors will be also be acknowledged by the conference host, and their logo and link will be placed on the conference web site.

27th Annual Montessori Foundation |

IMC Conference

November 2 - 5,  2023

This conference has been a popular major gathering of the Montessori community for the last 26 years. It features numerous keynotes, roundtables and breakout sessions, and is well-known for being a highly effective event for networking and sharing by hundreds of Montessorians from across the US as well as internationally.

The 2023 conference will be a “hybrid” event, with an in-person audience and a virtual audience. The event will originate from the beautiful Hilton Phoenix Tapatio Cliffs resort.  

In-person exhibitors will have a table at the event, plus a virtual exhibit booth on the conference platform. Virtual exhibitors will have a virtual booth. The platform will remain open for three months after the conference ends. 

Exhibit Hall hours:

Thursday, November 2  Set-up: Noon to 6 pm

Friday, November 3  8:00 am to 6:00 pm

Saturday, November 4 8:00 am to 5:00 pm

Applying for an Exhibit Space

To apply for a booth, you must fill out this application and provide payment in full. Solely at their discretion, the Montessori Foundation reserves the right to determine what vendors may exhibit. 

Cancellations must be received via email or mail until October 2, 2023. A refund of 50% will be made up to that date. No refunds will be made after that date.

EXHIBITOR AGREEMENT

I hereby certify to the Montessori Foundation and its representatives that I am fully authorized by the company listed below to bind it to the terms and conditions of this Exhibitor agreement to participate in the Montessori Foundation/IMC annual conference to be held November 3-6, 2022. By applying, I acknowledge that I have read and agreed to the terms and conditions as stated in this agreement.

EXHIBITOR TERMS, CONDITIONS AND RULES

1. General Event Information: The conference listed above, hereafter the “Event,” is being organized by the Montessori Foundation. The Montessori Foundation’s obligation to hold this event is contingent upon the facility in which the event is scheduled to be held providing the space that the Montessori Foundation has contracted on the dates set forth above. The Montessori Foundation makes no representations or guarantees regarding the number of persons who will attend the Event, as these numbers are impossible to predict.

2. Exhibitor Conduct: The Exhibitor agrees to assume all related costs of their registration as outlined in the Prospectus which the Exhibitor acknowledges receipt of, and, as such, agrees to comply with and adhere to all applicable laws, ordinances, rules and regulations of the local police and fire department and insurance obligations related to exhibit space where applicable. The Exhibitor and its representatives will not commit any act or permit their guests to commit any act in violation of such laws, ordinances, rules or regulations and promises to immediately stop and correct the causes of any such violations.

3. The Exhibitor is responsible for collecting all payment from any sales during the exhibit show, and is also responsible for full compliance with any local and/or state sales and use tax collection and reporting requirements.

4. Subletting and/or sharing of the virtual booth is not permitted.

5. Cancellation of the Event: Montessori Foundation reserves the right to cancel the Event, in whole or in part, and will notify Exhibitors in writing should this occur. If Montessori Foundation cancels the portion of the Event that affects Exhibitors, the Montessori Foundation will refund the full amount of fees paid by the exhibitor to the Montessori Foundation. 

8. Exhibitor Cancellation: 50% of the Exhibit Fees paid will be refunded, provided that written cancellation is received by the Montessori Foundation by October 2 2023. There will be no refunds for cancellations after that date..

9. Indemnity and Liability: The Montessori Foundation shall not be held liable for uncontrollable incidents such as fire, strike, natural disasters or terrorists' activities which may cause the Event to be delayed or cancelled. The Exhibitors assumes entire responsibility and hereby agrees to protect, indemnify, defend and hold harmless the Montessori Foundation and its agents against any and all claims, loss, demands, liabilities, costs and expenses or damage (including attorney fees) arising out of the negligence or willful misconduct of said Exhibitor its agents or employees and/or contractors/vendors contracted by the Exhibitors; and/or the display, use, or sale of any product or item used, displayed, or sold by Exhibitor or its agents or employees at the Montessori Foundation Conference.
